Timber Lodge Ranch Refund Policy
At Timber Lodge Ranch, we understand that unexpected circumstances can arise. Because each reservation removes dates from our availability and often requires advance planning, our cancellation policies vary depending on the type of reservation.
Please review the policy that applies to your reservation.
Reservations Made Through Third-Party Booking Platforms
Reservations made through third-party booking platforms, including but not limited to Airbnb, VRBO, Booking.com, Expedia, or similar services, are subject to the cancellation and refund policies of the platform through which the reservation was made.
Timber Lodge Ranch cannot override, modify, or issue refunds that conflict with the policies or terms of service of these third-party booking providers. Guests who book through a third-party platform should review that platform's cancellation policy before completing their reservation.
Single Cabin Reservations (Direct Bookings)
Cancellation More Than 30 Days Before Check-In
Guests who cancel more than thirty (30) days before their scheduled check-in date will receive a full refund, less any non-refundable merchant processing fees incurred by Timber Lodge Ranch.
Cancellation Between 8 and 29 Days Before Check-In
Guests who cancel between eight (8) and twenty-nine (29) days before check-in will receive a 50% refund, less any applicable merchant processing fees.
Cancellation 7 Days or Less Before Check-In
Reservations cancelled seven (7) days or fewer before the scheduled check-in date are non-refundable.
Rebooking Exception
If Timber Lodge Ranch is able to rebook the cancelled reservation for the same dates, the cancelling guest may become eligible for an additional refund, up to the amount originally paid, less:
Non-refundable merchant processing fees;
Any discounts required to secure the replacement reservation;
Any marketing, administrative, booking, or credit card processing expenses incurred by Timber Lodge Ranch in obtaining the replacement reservation.
Eligibility for any additional refund shall be determined solely by Timber Lodge Ranch after the replacement reservation has been confirmed, paid in full, and completed.
Entire Ranch Reservations (Direct Bookings)
Entire Ranch reservations reserve all lodging accommodations and event facilities for the exclusive use of one party and therefore require a longer cancellation period.
Cancellation 30 Days or More Before Check-In
Guests who cancel thirty (30) days or more before check-in will receive a full refund, less any non-refundable merchant processing fees.
Cancellation Between 14 and 29 Days Before Check-In
Guests who cancel between fourteen (14) and twenty-nine (29) days before check-in will receive a 50% refund, less any applicable merchant processing fees.
Cancellation 13 Days or Less Before Check-In
Reservations cancelled thirteen (13) days or fewer before check-in are non-refundable.
Rebooking Exception
If Timber Lodge Ranch is able to rebook the cancelled reservation for the same dates, the cancelling guest may become eligible for an additional refund, up to the amount originally paid, less:

Wedding & Event Venue Reservations (Direct Bookings)
This policy applies to all event fees, lodging accommodations included with the reservation, décor rentals, equipment rentals, outside rental items, and approved add-on services unless otherwise stated in writing.
Cancellation More Than 30 Days Before Event
Cancellations made more than thirty (30) days before the scheduled event date are eligible for a full refund of amounts paid, including approved outside rental fees for tables, chairs, linens, décor, and other rental items reserved through Timber Lodge Ranch, less any non-refundable merchant processing fees.
Cancellation Between 14 and 30 Days Before Event
Cancellations made between fourteen (14) and thirty (30) days before the scheduled event date are eligible for a 50% refund, less any non-refundable merchant processing fees.
Cancellation Less Than 14 Days Before Event
Cancellations made less than fourteen (14) days before the scheduled event date are non-refundable, regardless of the reason for cancellation.
Non-Refundable Circumstances
Refunds will not be issued for:
Early departures
No-shows
Inclement weather or natural events
Travel delays or transportation issues
Changes in guest count
Vendor cancellations or vendor-related issues
Voluntary reductions in services after final payment
Rebooking Exception
If Timber Lodge Ranch is able to rebook the cancelled event date(s), the cancelling client may become eligible for an additional refund, up to the amount originally paid, less:
Non-refundable merchant processing fees;
Any discounts required to secure the replacement booking;
Costs already incurred on the client's behalf, including outside rental commitments, vendor expenses, custom purchases, or special-order items;
Marketing, administrative, booking, or credit card processing expenses incurred by Timber Lodge Ranch in obtaining the replacement reservation.
Eligibility for any additional refund shall be determined solely by Timber Lodge Ranch after the replacement reservation has been confirmed, paid in full, and completed.
Merchant Processing Fees
Merchant processing fees charged by payment processors and financial institutions are generally non-refundable to Timber Lodge Ranch. Therefore, any refund issued will be reduced only by the actual processing fees incurred by Timber Lodge Ranch.
Refund Processing
Approved refunds will be credited to the original form of payment. Please allow 7–10 business days for processing after approval. Processing times may vary depending on your financial institution.
How to Cancel
All cancellation requests must be submitted in writing by email. The effective cancellation date is the date the written cancellation request is received by Timber Lodge Ranch.
Exceptions
Timber Lodge Ranch understands that extraordinary circumstances may occasionally arise. Therefore, Timber Lodge Ranch reserves the right, in its sole discretion, to make exceptions to this Refund Policy on a case-by-case basis.
Any exception, accommodation, or waiver granted for one reservation shall not constitute a waiver of this policy for any future reservation or create any obligation to grant similar exceptions in the future.
Policy Changes
Timber Lodge Ranch reserves the right to modify this Refund Policy for future reservations at any time. The Refund Policy in effect at the time of booking shall govern that reservation.
